The restaurant tech stack at one location, five, and twenty

September 21, 2026  |  2 min read  |  By Stack.Restaurant

A tech stack is simply the set of systems your restaurant runs on. The right stack depends far more on how many locations you operate than on what kind of food you serve.

One location

Keep it small. You need a POS with card processing, payroll that handles tips correctly, and probably direct online ordering. That is the whole list for most single-unit restaurants.

Scheduling can live in a shared calendar until you have more than about fifteen staff. Inventory can live in a spreadsheet until food cost becomes a problem you can name. Loyalty is worth adding once you have steady regulars and a way to reach them.

Two to five locations

This is where spreadsheets break. Expect to add:

  • Scheduling with labor forecasting, so each manager builds schedules against expected sales, not habit.
  • Inventory and recipe costing, because a two point swing in food cost is now real money.
  • Central menu management, so a price change does not mean logging in five times.
  • Loyalty and marketing that works across all locations with one guest profile.

Six to twenty and beyond

The priority shifts from features to data. You want sales, labor and inventory flowing into one set of reports, a clean connection to your accounting system, and vendors who can support many sites at once with proper user permissions. Ask about multi-location pricing early. Per-location fees add up fast.

Three rules at every stage

  • POS first. It is the base layer. Pick add-ons that connect to it, not the other way around.
  • Buy for a pain you can name. "We keep running out of chicken on Saturdays" is a reason to buy inventory software. "We should probably have it" is not.
  • Avoid overlap. If your POS includes a decent version of something, a separate tool has to be much better to justify a second login, a second bill and a second place for data to disagree.
